First aid kit inspection checklist for an Australian mining site

Having first aid kits across a mine site is only useful if the equipment inside them is complete, accessible and ready to use. Mining environments can be particularly hard on first aid supplies, with kits exposed to dust, moisture, heat, vibration and frequent movement between crews and work areas. A consistent inspection process helps identify missing, expired or damaged supplies before they are needed in an emergency.

Why Mining First Aid Kits Need Regular Inspections

A first aid kit can look perfectly fine from the outside while still having problems inside.

Dressings may have been used and not replaced. Sterile packaging may be damaged. Adhesive products may have deteriorated. Liquids or gels may be past their expiry date. A kit stored in a vehicle or harsh work area may also have been affected by dust, moisture or heat.

Safe Work Australia's first aid guidance says workplace first aid kits should be maintained and checked regularly.

The model Code of Practice recommends nominating a person to maintain first aid kits, replacing used items as soon as practicable and carrying out checks after use or, if a kit has not been used, at least once every 12 months.

The purpose of an inspection is simple: when someone opens the kit during an incident, the supplies they expect to find should actually be there, in usable condition and ready to go.

How Often Should Mining First Aid Kits Be Inspected?

There is no single inspection frequency that should automatically be applied to every mining operation in Australia.

Safe Work Australia's model Code recommends checking first aid kits:

  • After they have been used
  • Regularly as part of maintaining the kit
  • If they have not been used, at least once every 12 months

That annual interval is guidance rather than a reason to wait twelve months between checks where conditions justify more frequent inspections.

Mining operations may choose shorter inspection intervals because kits can be exposed to harsh environments, high workforce turnover, frequent vehicle movement or regular use.

The appropriate schedule should reflect the site's risk assessment, operating conditions and internal procedures.


1. Confirm the First Aid Kit Is Still in Its Correct Location

Start with the most basic check: is the kit actually where it is supposed to be?

On a large mining site, kits may be moved during shutdowns, vehicle changes, maintenance work or general site activity.

Confirm that:

  • The kit is present
  • It is in its designated location
  • Workers can access it quickly
  • The kit is not blocked by tools, stock or equipment
  • The location remains suitable for the work being performed
  • Any signage or identification remains visible

2. Inspect the Bag, Case or Container

The outside of the kit protects everything inside it, so inspect the container before checking individual supplies.

Look for:

  • Tears or holes
  • Broken zips or closures
  • Cracked or damaged cases
  • Loose handles or straps
  • Signs of water entering the kit
  • Heavy dust or contamination
  • Damage caused by tools, cargo or machinery

Safe Work Australia's model Code says first aid kits should be made from material that protects the contents from dust, moisture and contamination.

If the outer container can no longer protect the supplies properly, the kit itself may need repair or replacement.


3. Check for Dust, Water and Contamination Inside the Kit

Mining environments can expose first aid equipment to conditions that are less common in offices or indoor workplaces.

Open the kit and check for:

  • Dust inside compartments
  • Water or condensation
  • Mud or grease
  • Damaged cardboard packaging
  • Discolouration
  • Mould or unusual odours
  • Any other signs that supplies may have been contaminated

If sterile items have been compromised, they should not simply be wiped down and returned to the kit.

4. Compare the Contents Against the Kit Inventory

One of the easiest ways to inspect a first aid kit consistently is to work through an inventory rather than relying on memory.

Safe Work Australia's model Code recommends keeping an inventory list in the kit and signing and dating it after each check.

During the inspection:

  • Compare every item against the inventory
  • Check required quantities
  • Identify items that have been used
  • Look for supplies that may have been removed and not returned
  • Record anything that needs replacing

If the site's risk assessment requires additional supplies beyond the baseline contents, include those items on the inspection list as well.


5. Check Expiry Dates

Not every first aid item expires at the same time.

During an inspection, check the expiry dates on products where the manufacturer provides one.

Depending on the kit, this may include items such as:

  • Sterile dressings
  • Eye wash or saline
  • Burn gels
  • Antiseptic products
  • Other dated medical supplies

Don't only look for products that are already expired.

If several products are approaching expiry before the next scheduled inspection, replacing them early may avoid the kit becoming non-ready between checks.

6. Inspect Sterile Packaging

An item can still be within its expiry date but no longer be suitable if the packaging has been damaged.

Safe Work Australia's model Code recommends checking that sterile products remain sealed and have not been tampered with.

Look for:

  • Torn packaging
  • Punctures
  • Partially opened seals
  • Water damage
  • Packaging crushed badly enough to compromise the seal
  • Items that appear to have been opened and returned

Where the sterile barrier has been compromised, replace the item.


7. Check That Supplies Have Not Deteriorated

Expiry dates are only one part of the inspection.

Safe Work Australia's model Code also recommends confirming that supplies remain in working order and have not deteriorated.

This is especially important for kits exposed to mining conditions.

Check for things such as:

  • Adhesive dressings that no longer stick properly
  • Brittle or damaged packaging
  • Leaking liquids or gels
  • Discoloured supplies
  • Damaged bandages
  • Rust or corrosion on metal equipment
  • Scissors or tweezers that are damaged or unusable

If there is doubt about whether an item is still suitable for use, follow the manufacturer's storage and replacement instructions.


8. Check High-Use Items Carefully

Some supplies disappear much faster than others.

Minor cuts, grazes, splinters and eye irritation can result in frequent use of relatively small items without anyone reporting that the kit needs restocking.

Pay particular attention to frequently used supplies such as:

  • Adhesive dressings
  • Wound dressings
  • Gauze
  • Disposable gloves
  • Saline
  • Non-adherent dressings
  • Bandages

The exact high-use items will vary between sites and work areas, so your inspection history can help identify which supplies need closer monitoring.


9. Check Site-Specific First Aid Supplies

Mining first aid kits may include additional equipment based on the hazards identified at the operation.

Those items should be included in the same inspection process rather than treated separately or forgotten.

Depending on the site and work area, additional supplies may relate to risks such as:

  • Burns
  • Eye injuries
  • Major bleeding
  • Remote or isolated work
  • Specific hazardous substances
  • Other risks identified through the site's assessment

There is no single additional mining contents list that applies universally across Australia. Site-specific supplies should reflect the hazards and emergency arrangements of the particular operation.


10. Inspect Vehicle First Aid Kits Separately

Mining vehicle kits deserve particular attention because their storage conditions can be very different from fixed indoor kits.

Check that:

  • The kit is still in the vehicle
  • It remains securely restrained
  • Workers can access it quickly
  • The bag or case has not been damaged by cargo or tools
  • There are no signs of excessive heat, water or dust damage
  • The contents are complete and within expiry

11. Inspect Underground Kits for Environmental Damage

Underground kits may experience dust, moisture, mud and repeated handling.

Inspect both the contents and the location.

Ask:

  • Is the kit still accessible?
  • Has underground development changed the usefulness of the location?
  • Has the kit been exposed to water or contamination?
  • Are all sterile supplies intact?
  • Are quantities complete?
  • Do workers in that area know where it is?

12. Check Remote Work Area Kits

A missing item can be inconvenient in a workshop. At a remote location, it can be much more significant.

Where workers operate a long distance from central facilities, make sure remote kits are checked for:

  • Complete contents
  • Site-specific supplies
  • Expiry dates
  • Environmental damage
  • Accessibility
  • Any equipment required by the site's remote-work procedures

13. Restock Used and Missing Items Promptly

Finding a missing item during an inspection is only useful if something happens afterwards.

Safe Work Australia's model Code recommends replacing used first aid supplies as soon as practicable after use.

A mining operation should have a clear process for:

  • Recording what is missing
  • Obtaining replacement stock
  • Restocking the kit
  • Confirming the replacement has been completed

Avoid systems where an inspection identifies a problem but the kit remains incomplete while waiting for someone else to take responsibility.

14. Record the Inspection

A documented inspection system can make managing large numbers of mining first aid kits much easier.

Safe Work Australia's model Code recommends that the inventory list inside the kit be signed and dated after each check.

For larger operations, a central register may also be useful.

Depending on the site's system, record:

  • Kit identification number
  • Kit location
  • Date inspected
  • Name or initials of the person completing the inspection
  • Missing items
  • Expired or damaged supplies
  • Repairs required to the bag, case or mount
  • Restocking action
  • Date corrective action was completed
  • Next scheduled inspection

This can be particularly valuable where a mine has kits spread across surface facilities, underground areas and multiple vehicles.


Who Should Inspect First Aid Kits on a Mine Site?

Australian WHS legislation does not universally assign first aid kit inspections to one particular job title.

Safe Work Australia's model Code recommends nominating a person in the workplace, usually a first aider, to maintain the first aid kit.

On a larger mine, responsibility may instead be built into a broader site system involving departments, supervisors, first aiders, safety personnel or another nominated role.

Whatever system is used, responsibility should be clear.

If everyone assumes someone else is checking the kit, there is a good chance nobody is.


Use a Consistent Kit Identification System

Inspection becomes easier when every kit has a clear identity.

Rather than recording something vague like "workshop first aid kit", larger mining operations can assign each kit a unique number or location code.

For example:

  • Surface Workshop – FA01
  • Processing Area – FA02
  • Underground Crib Room – FA03
  • LV 12 – FA04
  • Field Service Truck – FA05

The exact naming system does not matter as much as making it consistent.

This helps inspection records, restocking and incident follow-up clearly identify which kit needs attention.

  • Kit is present in its designated location
  • Kit is visible and easy to access
  • Bag or case is undamaged
  • Mounting or restraint is secure where applicable
  • No dust, water or contamination has entered the kit
  • Contents match the inventory
  • Required quantities are present
  • Used items have been replaced
  • Expiry dates have been checked
  • Sterile packaging is sealed and intact
  • Products have not deteriorated
  • Scissors, tweezers and other equipment are usable
  • Site-specific first aid supplies are present
  • Vehicle kits are securely stored
  • Underground and remote kits remain suitably located
  • Inspection has been recorded
  • Restocking or corrective actions have been assigned

Don't Treat Every Kit Exactly the Same

A standard inspection process is useful, but the conditions surrounding each kit may be different.

A kit kept in an air-conditioned administration building may not require the same level of environmental scrutiny as one stored in a service vehicle, underground workshop or exposed work area.

Inspection frequency and the checks performed can be adjusted according to:

  • How frequently the kit is used
  • Environmental exposure
  • Location
  • Workplace hazards
  • Distance from other first aid equipment
  • Consequences of finding the kit incomplete during an emergency

The site's risk assessment should guide the system.


Mining First Aid Kit Inspections: The Bottom Line

First aid kit inspections should be more than a quick glance at the outside of the bag.

A proper check confirms that the kit is still accessible, its container is protecting the contents, required supplies are present, expiry dates are current, sterile packaging remains intact and damaged or used items are replaced.

For mining operations with multiple work areas, vehicles and underground or remote locations, consistency becomes especially important.

Give every kit a clear location, assign responsibility for checking it, record the inspection and make sure identified problems are actually fixed.

That way, the kit is not simply present on an inspection register. It is ready to use when someone genuinely needs it.
